This Website is operated by the Students' Union Royal Holloway University of London (SURHUL). SURHUL is based in Egham, Surrey,  UK. SURHUL is committed to protecting the privacy of its users while using the site.

The Students' Union Royal Holloway University of London reserves a right to change the Agreement at any time. SURHUL is The Students' Union Royal Holloway University of London (SURHUL) and  is a registered charity (Registered No: 1141998)The term ‘you’ refers to the user or viewer of our website.

This privacy policy sets out how SURHUL uses and protects any information that you give SURHUL when you use this website.

SURHUL is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy statement.

SURHUL may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are satisfied with any changes. This policy is effective from 1st September 2010.

SURHUL will use your data for purposes connected with the administration of Students' Union membership. The membership system is administered by Membership Systems Limited, but the data remains the property and responsibility of the Students Union. Student information will not be passed on to any other third party, except in the interests of health and safety or criminal investigation. The Students' Union may use data for disciplinary purposes, voting, general administration and promotion of membership services, student staff records, ticket sales, sports insurance, and entry to premises.

2.1 What we collect

We may collect the following information:

  • name and course (or job) title
  • contact information including email address
  • demographic information such as postcode, preferences and interests
  • other information relevant to customer surveys and/or offers

any other information we believe necessary for the administration of our membership

2.2 What we do with the information we gather

We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:

  • Internal record keeping.
  • We may use the information to improve our products and services.
  • We may periodically send promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided. 
  • From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, fax or mail. We may use the information to customise the website according to your interests.

2.3 Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

2.4 How we use cookies

A cookie is a small file which asks permission to be placed on your computer's hard drive. We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. You may request details of personal information which we hold about you under the Data Protection Act 1998. A £10 fee will be payable. If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect.

8. Governing law 

8.1 The Agreement is governed by English law notwithstanding the jurisdiction where you are based. You irrevocably agree that the courts of England shall have exclusive jurisdiction to settle any dispute which may arise out of, under, or in connection with these Terms of Use and for those purposes irrevocably submit all disputes to the jurisdiction of the English courts. The place of performance shall be England. 

 8.2 We provide no warranty or guarantee that the Website or information available on it complies with laws other than those of England.

9. Severance

If any part of the Conditions shall be deemed unlawful, void or for any reason unenforceable, then that provision shall be deemed to be severable from these Conditions and shall not effect the validity and enforceability of any of the remaining provisions of the Conditions.

SURHUL does its best to ensure that the Website is accessible to all its users and potential users, including but not limited to users with disabilities (eg visual impairments, cognitive impairments, motor impairments etc); users for whom English is a second language; users of various software; or any other users who may need to use the Website.

SURHUL reserves the right to amend or otherwise alter the information displayed on this site. Whilst every effort is made to ensure this site provides a safe environment for all visitors, the dynamic and open nature of areas such as the discussion forums and noticeboards prevent the Students' Union from monitoring all content posted here. Content of a questionable nature can be reported to the VP Communications and Campaigns in the first instance. Any links to other websites provided by this website have been included for convenience only and SURHUL accepts neither responsibility nor liability for the contents of any linked website.
